How to Submit Stones to a GIA Laboratory

Anyone around the world can submit diamonds and colored gemstones to GIA and be assured of consistent and universal quality standards, service levels, and fee structures. We are continually developing new methods to make access to our services easier and more convenient, including My Laboratory, where you can track the status of your orders, request additional services, and more.

Whether you choose to ship your items directly to us, or drop them off in person, here are a few tips to help ensure the quick return of your items.

  • For GIA Diamond Grading Reports and Diamond Dossiers services, we only accept loose (unmounted) diamonds. Mounted stones are accepted for Verification, Colored Diamond Identification and Origin grading services depending upon the setting or mounting.
  • While you may submit anything to any GIA Laboratory location for grading or identification services, there may be some limitations on the size and types of goods that are serviced at that particular Laboratory and your items may be shipped to another GIA Laboratory location for service. Please refer to specific locations for details.

What you will need:

  • A signed Client Agreement Form, if we don’t have a current form for you on file, or if you begin sending stones to GIA’s laboratory in India. Please be sure to return the signed signature page(s) with your first shipment, including the Patriot Act Compliance Confirmation and the Kimberley Process Certification. We will periodically request that you sign updated agreement(s).
  • Your items placed in individual parcel papers or other suitable containers.
  • Parcel papers must include shape and weight. You may also include your internal identification or lot number. Parcel papers MUST NOT include company name, initials, logos, phone, fax, email, website, or any other information which identifies you as the client or refers to grading information.
  • A memo or pro-forma invoice of submitted items including weight, shape, value and service requested, on company letterhead (if applicable).
  • Your GIA Client Number (if available).
  • If shipping, please provide return shipment information, including address, telephone number, insurance requirements and estimated declared values.
  • If you’re picking up or dropping off items in person, please bring photo identification, and if applicable, trade identification (business card or letter of authorization) authorizing use of the account.

  • Carlsbad accepts diamonds under 4 carats as well as colored diamonds, pearls and gemstones. All other diamonds will be shipped to the New York Laboratory for service.
  • Ship via U.S. Registered Mail (within the U.S.) or air/armored courier services. If you are shipping from outside the U.S. and are unfamiliar with procedures and fees associated with shipping gemstones internationally, please contact your local air/armored courier and GIA Laboratory Client Service.
  • Submit a signed Client Agreement Form, if we don’t have a current form for you on file. Please be sure to return the signed signature page(s) with your first shipment, including the Patriot Act Compliance Confirmation and the Kimberley Process Certification. We will periodically request that you sign updated agreement(s).

  • New York accepts all diamonds for full grading reports as well as colored diamonds, pearls and gemstones; diamonds submitted for the Dossier service will be shipped to the Carlsbad Laboratory for grading. 
  • Ship via U.S. Registered Mail (within the U.S.) or air/armored courier services. If you are shipping from outside the U.S. and are unfamiliar with procedures and fees associated with shipping gemstones internationally, please contact your local air/armored courier and GIA Laboratory Client Service.
